Keep screen content current from a shared Drive folder.

Let the people who maintain notices, menus and event files keep working in Google Drive, while UrbanLoop handles delivery to the screens.

What changed.

The 16.0 release introduced Google Drive folder sync. Instead of downloading a file and uploading it again for every change, a team can connect a selected folder to a Files slide. Changes to supported files in that folder can then reach the TVs using its assigned playlist.

The useful shift is ownership: a person can maintain the source files without repeating the signage upload each time. The screen still needs the right slide, playlist assignment, access and connection.

A shared notice folder, with a clear owner.

For a school reception screen, an office team might maintain event notices and visitor information in one selected folder. Staff can update an approved PDF or replace an image there. The signage manager sets up the Files slide and assigns its playlist to the reception TV.

Keep only display-ready material in that folder. Put private working documents and drafts elsewhere. If a notice has an expiry date, make its removal part of the publishing routine. Schools can combine this approach with campus-specific playlists and staff access.

Keep the scope deliberate.

Drive folder sync requires Pro. Place supported files directly inside the selected folder; do not rely on a nested folder being included. The current workflow orders files by modified time, so a carefully arranged playlist is a better choice when each item needs an exact position.

Source access and continuing synchronization are separate checks. Follow the access instructions shown in the app, including sharing with the displayed service account where required. Connecting your Google account does not give every screen access to every file in Drive.

Verify a real update.

The Drive slide needs to be in a playlist assigned to at least one active, online TV for synchronization to run. Allow time for the sync cycle, file processing and downloads. File size, connection quality and Google service availability affect delivery time.

Change one representative file and check the source preview, the assigned playlist and a fresh screen capture. An older capture is not proof of a new update. Previously downloaded content can remain available during an outage, but new changes need connectivity.

Use the current setup instructions.

Follow the Google Drive folder guide for supported files, connection steps, access and troubleshooting. The remote management guide explains how to inspect the screen and request a refresh.

If your team mainly edits presentations rather than folders of files, see the Google Slides workflow story.
