Keep your account and content organized.
Choose your communication preferences and clear out old content without confusing removal, deletion and screen assignments.
Only want to stop an item playing? Remove it from the intended playlist or change its schedule. Deleting a slide from the library is a different action and affects the playlists that use it.
Choose product-update and survey emails.
Open Account
In the management app, open Account and find Email Preferences. Navigation can look different on a phone and a wide desktop window.
Set each preference
Use Receive Product Updates and Receive Survey Emails independently. Switching one off does not switch off the other.
Check the save result
Each switch saves when changed. Look for Preferences updated successfully. If an error appears, check your connection and reopen Account to confirm the saved value before trying again.
These controls apply to the signed-in user’s communication preferences. They do not change a slide, playlist, TV setting or another team member’s preferences. Turning off product updates is not account deletion.
Choose a communication email address.
Under Email Preferences → Communication Email, select the edit pencil, enter a valid address and choose Save. Choose Cancel to leave it unchanged. Check the address and the save result afterward.
If no separate communication email is set, the app displays the account email. This preference is separate from your login email and the Google account connected to content. Changing it does not transfer source ownership or repair a Google connection. For those tasks, see Google Workspace access and team access.
Choose between removing and deleting content.
| Your goal | What to change | What to keep in mind |
|---|---|---|
| Stop a slide appearing in one playlist | Open that playlist and move the slide out of its current/assigned slides, then save the playlist. | The slide stays in the library and can still appear through other playlists. |
| End or pause a campaign | Review its slide or playlist schedule, or remove the assignment that should stop. | A schedule controls eligibility. It does not remove the library item. |
| Remove a slide from the library | Delete the slide from Slides after checking where it is used. | Deletion removes the slide from playlists that reference it and can remove its uploaded/processed media. Keep any original files you need elsewhere. |
| Remove an obsolete playlist | Assign replacement content to affected TVs first, then delete the playlist. | Deleting the playlist does not delete its underlying slides. Do not assume affected TVs will choose a suitable replacement automatically. |
| Remove an obsolete TV record | Review the physical screen and its intended management setup, then delete only the obsolete record. | This removes the management record. It does not uninstall the app or factory-reset the Apple TV. Review linking and playback separately. |
Library and record deletions have no undo in their confirmation dialogs. Use playlist removal or scheduling when the aim is only to stop showing something. An item no longer needed at one location may still be useful elsewhere.
Review a bulk selection before deleting.
Choose the right list
Open Slides, Playlists, or TVs. Check the organization, site and filters so you are working in the intended list.
Enter selection mode
Use Select Slides, Select Playlists, or Select TVs, usually near the lower-right controls. Select the intended cards. Use Cancel Selection to clear the selection and leave this mode.
Check the items and count
Review the selected names and the confirmation count. Do not assume changing a filter clears an earlier selection. If uncertain, cancel selection and start again.
Delete only the reviewed selection
Choose the matching Delete Selected… control. The confirmation states that the action cannot be undone. Choose Cancel if anything is unexpected, or Delete when you intend the listed change.
Refresh and check the result
If an error interrupts a bulk deletion, refresh the list before retrying. Some items may already have been deleted. Review the remaining items and affected screen assignments rather than submitting the same selection blindly.
Controls depend on your role, access and app version. If an action is unavailable, ask your organization administrator. Do not create another account to bypass the restriction.
Treat individual media files and connected sources separately.
Removing one image or video inside a Files slide is different from deleting the whole slide. Open the intended slide and inspect its media list. Use the available item controls, review the remaining preview, then save the parent slide. Keep the original file separately if it may be reused.
For a Google Drive folder slide, the source controls its media: local add, delete and reorder controls are disabled. To change what is synchronized, review the intended source folder with the person who manages it. Removing a source file can affect every screen using that synced slide. See Google Drive folder sync.
Deleting an UrbanLoop slide is not the same as deleting the original Google presentation, calendar or Drive folder. Keep source-file administration separate from signage cleanup, and review any continuing sharing or account-access requirements with the source owner.
Check the screens after cleanup.
- Open affected playlists and confirm that the intended slides remain in the right order.
- Review the playlists assigned to each affected TV, including multiple-playlist assignments and schedules.
- Use a fresh remote screen capture to check content and its update time. An old capture is not proof of the current display.
- If a screen is offline, verify it again when it reconnects. Cached playback does not make a deleted library item recoverable.
- If a TV record was removed, check the physical player’s intended linking and content before leaving it unattended.
For normal housekeeping, start with a small set of clearly unused items. Avoid deleting an entire site, organization or account just to remove old campaign content.
Account deletion is a separate decision.
Delete Account is under Account Management. It is not an unsubscribe button or a way to clear only one playlist. The app presents a separate confirmation and requires typing DELETE. Use the email preferences above for communication choices and the content controls for library cleanup.
If you need help with a shared organization or cannot tell whether content is still in use, contact UrbanLoop before deleting it. Include the relevant item names and what you want to stop or retain, without passwords, tokens or organization secrets.
